REPORTING TO: Production Manager
Purpose of the role
The purpose of a stock controller is to manage and maintain accurate stock control
within the production environment, supporting procurement, warehousing, and
production operations. The Production Stock Controller ensures proper documentation,
traceability, and adherence to food safety standards while preventing stock discrepancies and production delays.

ROLE REQUIREMENTS
Qualifications and/or certification
Minimum Qualification: Grade 12 / Matric
Preferred: National Certificate or Diploma in Supply Chain, Inventory Management, or Production Management
Experience and skills
2–3 years in a stock/inventory control role, ideally in a production or Manufacturing environment
Proficiency in Microsoft Office (especially Excel) required.
Experience with Dynamics ERP and Go Canvas would be advantageous.
Exposure to food safety systems, policies and compliance would be advantageous.

OUTPUTS/ KEY PERFORMANCE AREAS (KPA) & KEY PERFORMANCE INDICATORS (KPI)
Inventory Control & Stock Management
Monitoring and accurate reporting of daily stock levels.
Preventing overstocking and stockouts.
Maintaining a steady flow of stock.
Participation in audits, stock and cycle counts.
Maintaining accurate stock and inventory records in Go Canvas.
Record and keep track of all WIP’s.
Purchase Order & Order Management
Efficient completion and submission of Purchase Requisitions (PRs)
Timeous and accurate communication with procurement for stock needs.
Follow up with procurement team on ETA’s and updates w.r.t orders)
Coordination with production and logistics team to ensure orders are correctly for filled within the given timeframe.
Accurately check deliveries against orders.
Ensure documentation is for goods received.
Process GRV’S on dynamic.
Saving COA’s and Receive doc on the one drive
Food safety compliance
Participation in yearly food safety audits
Ensuring compliance with certifications (COAs/Cleaning Certificates)
Participate as Food safety team member.
Warehouse Management
Overseeing correct storage and handling of goods
Implementing First-In, First-Out (FIFO) practices
Making sure all staff has PPE and knows how and when to use it
Ensuring all products is correctly labelled and has a QR code to scan
Scanning and sending of Chem comm Stock to the invoicing department
Production Management support
Assist production manager with planning and production output.
Support training initiatives.
Assist production manager with daily labour administration (timekeeping, absenteeism)
Daily walk through and inspections of the factory.
Assisting manager with support needed (doing time studies or assisting with staff management)
Tank space planning with manager to receive oil containers
Night shift or overtime (weekend work) planning when needed
Reporting
Accurately capture manufacturing data in the Dynamics system.
Cross-check Go Canvas submissions against manufacturing records for consistency.
Perform regular stock audits by comparing system stock levels with actual physical stock and report discrepancies to management.
Generate and send accurate daily stock level reports to management.
Conduct thorough reconciliations of stock items as assigned by management.
Prepare daily dispatch error reports, investigate discrepancies, and implement corrective actions.
Collaborate with the invoicing department to resolve stock-related queries and discrepancies.
Assist the invoicing department in completing sales orders as required.
Conduct depot stock checks in coordination with the invoicing department.
Investigate errors identified during depot stock takes and implement resolutions.
Organize and facilitate regular cycle counts for depot stock.
