Job Title: Business Systems Analyst 

Location: Woodstock, Cape Town

 
 
  1. JOB PURPOSE
 
  • Understands the role of IT systems in an organization and determines the best technologies to increase an organization’s efficiency and effectiveness.
  • Optimize business processes through the use of workflow and automation technologies.
  • Oversees the installation and configuration of systems to customize them to fit the organization’s needs.
  • Tests systems and train organization on how to use systems.
  • Develops and documents business objectives, data requirements, processing documentation and specifications.
 
 
  1. KEY RESPONSIBILITIES
 
  • Ensure that the requirements set by the business are captured and documented correctly before any solutions are developed.
  • Solving Business requirements through the use of current or new best of breed applications, compiling business cases for 3rd parties to meet this need where applicable.
  • Maintenance and growth of all internal business systems.
  • Build effective relationships with clients (mostly internal) to develop joint vision for projects
  • Manage Client expectations through careful and proactive communications regarding requirements and changes
  • Use negotiation skills to build final consensus on a common set of requirements from all stakeholders
  • Ensure that Stakeholders understand implications of their decisions, and provide options and alternatives when necessary
 
 
  1. MAIN ACTIVITIES
 
  • Determine operational objectives by analysing business functions; gathering information; evaluating output requirements and formats.
  • Design new computer systems by analysing requirements; constructing workflow charts and diagrams; studying system capabilities; writing specifications.
  • Develop an understanding of how present and future business needs will impact solutions.
  • Improve systems by studying current practices; designing modifications.
  • Recommend controls by identifying problems; writing improved procedures.
  • Apply automation where applicable.
  • Provide references for users by writing and maintaining user documentation; providing help desk support; training users.
  • Maintain user confidence and protects operations by keeping information confidential.
  • Prepare technical reports by collecting, analysing, and summarizing information and trends.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies.

Key Performance Area Output (how)
Quality of documentation (Scope, Requirements & Analysis) The BSA generates many key project documents like the scope document, requirements and analysis documents which form the basis of future work.
  • The documents can be judged for quality and rework.
  • The BSA can be evaluated depending on how clear the document was to development and test team to do their tasks.
Time taken from ideation of requirements to approval from client
  • How much time did the BSA take to identify and understand the client’s key problems and design a solution and send for approval?
  • How much time was spent on rework on the same?
Rework due to gap in requirements
  • How much time did the BSA take to identify and understand the client’s key problems and design a solution and send for approval?
Enhancements to existing systems implemented. The BSA is responsible for identifying gaps in the performance of existing systems/processes and finding solutions to close the gaps.
  • Feedback can be sought on the effectiveness systems/processes that the BSA has reviewed and refined.
Stakeholders Satisfaction (Project) Feedback from stakeholders can be sought regarding the communication and transparency regarding the business solution.
  • Number of good/bad comments received from stakeholders
  • Their perception of quality of documents received.
End User Satisfaction
  • End Users can be interviewed to get feedback on the support, training and manuals produced or given by the BA and if the new solution helped them in their work.
Team Satisfaction
  • Team members can be interviewed to find out how effectively the BA contributes to the overall team.
 
COMPETENCY PROFILE
 
KNOWLEDGE SKILLS ABILITIES
 
Qualifications:
  • Grade 12
  • Requires a bachelor’s degree or similar with relevant certifications.
 
 
Experience:                                                                          
  • At least 5 years of experience in the manufacturing industry.
  • At least 3 years ERP systems (preferably Microsoft Dynamics NAV) experience
  • Office 365 / SharePoint Online / Azure experience
 
  • Good verbal and communication skills, including active listening skills
  • Well organised with understanding of business processes and systems
  • Ability to work independently and in a team
  • Strong analytical skills
  • Strong computer literacy in relevant applications
  • Solid understanding of planning / project principles, tools and techniques
  • Good understanding of Database design and structures
  • Experience in Workflow and automation
  • Experience in SQL scripting
  • Solid experience in BI and Reporting Tools
  • Experience in ERP a definite plus
